UK Car Rental Terms & Conditions

Age Requirements
Minimum rental age is 22 years. A young drivers surcharge applies to drivers aged: 22-25 years.
Age policy varies by location and some vehicles and/or products may not be available to drivers under 26 at certain locations.
Please provide your age at time of requesting quote/reservation and we will provide further details. All overseas drivers must be over 25 years old to rent from Aberystwyth, Pembroke, Carmarthen and Llanelli.
There is no upper age limit except at the following locations Aberystwyth, Pembroke, Carmarthen, Lianelli and the Isle of Man which have an upper age limit of 75 years. Southport, Wigan and Bury St. Edmonds have an upper age limit of 70 years.
 
License Requirements
All drivers must produce documents at start of rental. Drivers must produce a current full license valid in their country of domicile and which has been valid for a minimum of 12 months. In addition, the following documents must be provided: passport, additional ID shwoing home address and proof on entry/exit into/out of the U.K. 
Licenses must be clearly identifiable as a driving license, otherwise an international driving license will be required. A passport must also be produced.
ID showing driver's home address and proof of entry/ exit into/ out of the UK (e-tickets acceptable). Visitors to the UK will have their Passport and Driving License checked for authenticity by the ID Scan system at participating stations. ID scan is a scanning system which can detect fraudulent documents. Any customer whose documents fail the ID Scan check will not be allowed to rent. Customers must produce both documents at the start of the rental. All rental companies at Stansted require a finger print to be taken.
 
 
NB: When picking up the vehicle you will need to present your drivers license, passport and copy of return ticket (e-tickets acceptable) at the time of pickup, along with your credit card. In addition you may required to provide a "paper-based proof of your home address”  (eg., a utility bill or bank statement) from the past 3 months,  and your contact details within the U.K. Please have all this information with you in case requested.
 
Additional Driver Charges
Consent required for any other person to drive. Additional driver charge is applicable and will be provided with quotes (currently £12.00 per day including  VAT per additional driver, with a maximum charge of £120.00 including VAT for most U.K. locations. For the Additional drivers must be over 22. All additional drivers must meet the age and license requirements.
 
Cross Border Policy(Driving on the Continent or Ireland)
Please inform us at the time of reserving if you are planning to travel outside of mainland UK.
Vehicles may be taken abroad but renters will be required to purchase the Europdrive Package (Overseas Breakdown Cover) costs range depending on the number of days the vehicle will be outside the U.K. Please ask for details.  The cost ranges from £60.00 for 2 nights, up to £220 for 42+ nights.
 
The Europdrive Package is only available to purchase at the counter and applies to vehicles going to the Republic of Ireland also.
 Written permission is required to take any vehicle outside of the UK. Any vehicle rented (irrespective of insurance cover) requires written permission from Europcar by means of obtaining a completed VE103 form prior to departure. This should be obtained from the renting branch at commencement of rental. Section 1 Countries which you are allowed to travel to are: Andorra, Austria, Belgium , Denmark , Finland , France , Germany* Gibraltar, Holland, Ireland , Iceland , Italy , Litchenstein , Luxembourg, Norway, Portugal, San Marino, Spain, Sweden and Switzerland. Cars MAY NOT be driven into any outside those listed above. Premium vehicles may NOT be taken overseas (PDAR, PWAR,LDAR)
*Winter tyres required.
 
One Way Rentals
Domestic one-way within the mainland UK allowed  and must be requested at time of booking. Fees apply and will be included with quotes for one-way rentals. Some restrictions apply.
One- ways between Mainland U.K. and Northern Ireland - fees apply and not all vehicle groups are eligible. One-way rentals from Northern Ireland to Republic of Ireland or mainland UK are permitted for some vehicle groups and fees apply. GPS must not be left in vehicles terminating in any location in the Republic of Ireland or UK Mainland stations. The full loss of deposit will apply.
One-ways are NOT permitted between the Mainland U.K. and the Republic of Ireland.
One-way rentals are permitted from any Northern Ireland location to the following locations in the Republic of Ireland:- to Dublin, Cork, Knock and Shannon only - fees apply and not all vehicle groups may be eligible.
All one way rentals to and from UK Mainland into Northern Ireland are subject to availability.
International one-ways are NOT permitted.
 
Condition of Vehicle 
Vehicle must be returned in the same condition as when rented, normal wear & tear excepted. The customer is responsible for the cost of any new damage found at rental termination up to the amount of their damage excess liability. If special cleaning is required a separate charge will be made directly to the customer.
Please note: Minor damages to the vehicle such as scratches or dents will be charged for by the station at time of check-in - such cases will incur a Damage Admin fee of £36.00 on top of the deductible amount (the admin fee may be higher for more serious damages).
 
Special Equipment 
Child/Infant seats (CSI):  It's the law in the UK that all children under three years old must use an appropriate child restraint ("baby seat") when travelling in any vehicle, all children aged three or more years old and up to 135cm (approx 4ft 5in) in height must use an appropriate child restraint ("booster seat") when travelling in a vehicle. Drivers are responsible for seat belt wearing and restraint use by children under 14 years.
The following seats are available to rent ( a security deposit may apply).
1) Baby safety seat - 0-13kg, 0-29lb,  0-12 months 
2) Toddler Safety seat - 9-18kg, 20-40lb, 1-3 years
3) Child Satefy seat - 15-30kg, 33-66lb, 4-7 years
4) Child Booster seat - 8-12 years
 
Please let us know at the time of reservation if you require a baby or booster seat.
It is the driver's responsibility to fit the seat for the child.
 
GPS units are available, please inquire at time of booking. An additional security deposit is required. For one way rentals from Northern Ireland GPS must not be left in vehicles terminating in any location in the Republic of Ireland or Mainland UK. The full loss of deposit will apply.

Premium Location fee PLF will be included in quotes for the applicable locations. Premium locations subject to change and fees will be included in quotes when applicable.
 
Mileage: for rentals exceeding 27 days a per mile fee is applicable if exceeding allowed mileage. Mileage limits (if any) will be noted with quotes/reservations. 
 
Vehicle Licence fee is GBP 1.36 / day + VAT. (fees will be included in quotes)
 
Congestion Charge: In Central London the city has imposed a congestion charge scheme which is payable daily Monday to Friday for each day that a vehicle moves within the zone. The daily charge is GPB 11.50 if paid by midnight on the day of travel. It is payable locally by phone, internet or selected retail outlets within the zone (next day payment only available online or by phone). There is a fixed penalty system for non-payment. Drivers are responsible for all congestion changes and penalties.
 
DVLA Check - currently £ 4.75 + tax (paid locally) - Customers are only charged this fee when they do not have their full driving license.
 
Drivers are liable for the payment of all charges, fees & costs arising from any congestion charge, bus lane penalties, speeding fines, road traffic offence, or parking offence involving the vehicle, including costs from the vehicle being clamped, seized or towed away & any charges/costs (or failure to pay) of the appropriate organisation if & when they ask for these payments, plus  Europcar's administration fee.

Refueling Policy 
All vehicles are supplied with a full tank of fuel and it is the customer’s responsibility to return the vehicle full or pay for any missing fuel at the end of the rental.
A "full tank" option may be available at pick up and you may select to pay for a full tank and then return the vehicle with whateve fuel is left in in. (You will not be reimbursed for any unused fuel). Please check at pick up for the current cost of the tank.  
 
Out of Hours Policy
After hours pick up or return may be possible at some locations and fees may apply - please request at time of reservation. If returning out of hours the customer remains liable/responsible for the vehicle until the depot re-opens. Please check with the local depot to confirm at pick-up the procedure for returning the vehicle out of hours and the location of the key return box.  
 
Payment Policy 
All major credit cards (American Express, Diners Club, Eurocard, MasterCard, Visa, Visa Debit). Drivers must also present their driving license, passport and copy of return ticket.
Cash and/or Travelers cheques may be accepted in GBP only at some locations and for some vehicles and additional deposit may be required. Please let us know at the time of reserving if you prefer to pay cash.
 
Deposits
Renters will be asked for the following deposits:1) The estimated cost of the rental +20% 2) A GBP 250 security deposit (please note this deposit is not linked to the amount of the renter's damage or theft liability excess and is required on all rentals) 3) possible fuel deposit (if this option is selected).
Cash renters cannot expect to receive a refund of their deposits in cash. The refund will probably take the form of a Sterling cheque, which will be posted to the renter's home address. The renter may also be required to provide an additional form of ID.
 
All rentals, excluding Prestige rentals, are subject to a standard £250 deposit at the time of rental in addition to the appropriate rental charges. If you are a first time customer presenting a UK driving licence and have a foreign address you will be required to pay a deposit of £1000.00 rather than £250.00. All Prestige rentals are subject to a standard £500 deposit at the time of rental in addition to the appropriate rental charges. If you are a first time customer for a Prestige rental presenting a UK driving licence and have a foreign address you will be required to pay a deposit of £2000.00 rather than £500.00. These funds will be Authorised* on all credit cards. These funds will be deducted from debit cards. The funds will be released or refunded, where appropriate, after the rental period, subject to the deduction of any damage or charges. Cheques will be cashed. *Authorised means that the amount is 'marked' against the card but not actually charged to it. The Authorisation therefore reduces the cardholder's available credit as against their approved limit. The amount does not appear on your monthly statement. The payment card used for the deposit must be the same payment card as was used for the prepaid booking rental.
  
A penalty charge will apply if a customer returns their car more than 24 hours after the agreed check-in time without advising the branch. Change fees may apply for changes to rentals after pick up.

Reservations 
Reservations will be confirmed by vehicle group. Specific makes, models cannot be guaranteed. Minimum rental period is 3 days. 24 hours equals one rental day. Minimum 48 hour notice requested for reservations. If you are last minute, please contact us and we will do our best subject to availability.
 
Roadside Assistance 
In case of breakdown or accidents, emergency telephone numbers can be found in the vehicle or on the disc by the key fob - please check location when picking up the vehicle. Cover is provided through either the AA, RAC or other provider, dependent on the vehicle manufacturer. Customers should call the emergency number shown on their vehicle. Coverage is 24 hours a day, 7 days a week. Please follow the instructions provided to avoid additional costs.  
 
Insurance + Waivers 
All renters are strongly encouraged to review the full details of insurance in the Europcar Terms and Conditions -Section 26.
We also recommend checking with your credit card company for the details of their coverage.
 
Third Party Insurance is mandatory in the UK and included in the daily rate.

Collision Damage Waiver  -  NOT INCLUDED IN BASE RATES FOR RENTERS FROM CANADA AND USA
- Can be purchased to reduces the your liability from the total cost of the damage (up to the value of the vehicle and including off the road and recovery costs) to the excess (deductible) amount.
Exclusions may apply.  Please refer to the Europcar Terms and Conditions for full details.
If using your credit card for CDW coverage please check with your credit card for the full details of their coverage.
 
 Theft Protection Waiver - NOT INCLUDED IN BASE RATES FOR RENTERS FROM CANADA AND USA 
- Can be purchased to reduces the renter's liability from the total cost of the theft, attempted theft or damage as a result of theft or attempted theft (up to the value of the vehicle and including off the road and recovery costs) to the excess(deductible).

If using your credit card for TP coverage please check with your credit card for the full details of their coverage.
 
RENTERS FROM CANADA & USA - we can add collision damage and theft protection coverage at the time of your reservation.
Please let us know if you require this coverage.
 
Basic Collision Damage/Theft Protection coverage has excess (deductible) of GBP 1000 for most vehicle groups. Premium vehicles may have higher excess rates. Young drivers may have higher rates at some locations. Additional/optional coverage available for purchase to reduce the excess (deductible) to GBP 250 or GBP 0.01.
Exclusions apply - damage caused to the vehicle hitting a bridge, car park barrier or other overhead object or damage caused by driver negligence.
Minor damages to the vehicle such as scratches or dents will be charged for by the station at time of check-in. A Damage Admin fee may also be applied. 
 
Additional insurance coverage may be purchased at time of pick up to cover: Windscreen, Glass and Tyre, Personal Accident, reduce the excess on CDW/TP. Please ask for details when reserving and please refer to the Europcar Terms and Conditions for full details.
 
 
No Smoking
A smoking ban applies to all vehicles at all times. Failure to adhere to acknowledge the no smoking signs placed in the vehicles could be subject to a penalty notice and fine.
